Job Brief
The Administrative Assistant will assist the Private Secretary in performing a range of clerical and other office duties at the Chief Executive’s secretariat. He/she is expected to be at post until the Chief Executive Officer closes for the day.
Responsibilities
- Assisting in the keeping of inventory of office supplies and maintaining their availability at all times.
- In-charge of greeting and welcoming of visitors and a directing them to the appropriate authorities.
- Assisting in the dissemination of relevant information to staff as and when necessary.
- Assisting in the filing and retrieval of documents as directed by the Secretary.
- Supporting in matters of communication, including but not limited to drafting, dispatching and receiving official correspondence as directed by the secretary.
- Meticulously enter records of documents into dispatch books and ensure that they are duly signed for and received by the recipients or a rightful representative.
- Assisting in responding to all administrative enquires and relating to appropriate authorities.
- Distribution of circulars as assigned by the secretary.
- Perform any other duties as may be required by the hospital from time to time.
Qualifications & Experience
- HND in Secretaryship or Management Studies from a recognized tertiary institution.
- Minimum of 3 years working experience as Administrative Assistant or similar role in a health facility, preferably a hospital.
- Computer literate and proficient in the use of varied applications
- Very adept at using various automated systems and software.
- Excellent writing and verbal communication skills.
- Detailed to information, honest, trustworthy, respectful and ability to handle or keep confidential information.
- Strong multitasking and organizational skills.
- Excellent time management skills and ability to multi-task and prioritize work.
- Foster good communication and team working relationships within the facility, in-person.
